Purchasing Associate: Position Grade C
 
Reports to: Purchasing Supervisor
 
Position Objective
The procurement of quality goods and services at a competitive price and in a timely manner while meeting the needs of the end user.  Assist in any tasks as directed by and under the supervision of the Purchasing Supervisor and/or the Purchasing Manager.
 
Training
  • Hands-on internal training consisting of sitting with experienced staff members
  • Additional training from outside sources as recommended by the Purchasing Manager
  • Mandatory company safety training for office staff
 
Authority/Decision Making
  • Contacts vendors to solicit quotes from potential suppliers
  • Negotiates pricing with vendors
  • Recommends and purchases materials and/or services for items under $1,000.00
  • Reports directly to Purchasing Supervisor and/or Purchasing Manager
 
Duties & Responsibilities
  • Assist in any tasks as directed by and under the supervision of the Purchasing Supervisor and/or the Purchasing Manager
  • Enter purchase requisitions in the AS400
  • Fax requests for quotation to assigned vendors
  • Manual faxing of bid packages
  • Negotiate pricing for best company value
  • Evaluate and make recommendation for purchase of material or services
  • Issue purchase orders per Purchasing Manager approval
  • Purchase online orders
  • Reconcile accounting discrepancies
  • Resolve overdue delivery reports
  • Filing of completed P.O.’s, P.O. confirmations, and overdue notices
  • Expedite orders when necessary
  • Perform other duties as required or assigned
  • Must have regular, reliable attendance, and willing to work outside the regular schedule as required.
  • Willing to handle job stress and interact with others in the workplace.
Qualifications
  • High school diploma or GED
  • Minimum of 1 year purchasing experience
  • Strong personal computer skills to include but not limited to Microsoft Outlook and Internet Explorer
  • Accurate 10-key by touch
  • Working knowledge of Microsoft Word and Excel
  • Strong written and oral communication skills
  • Must be goal and results oriented and have strong organizational skills
  • Must be professional and able to maintain confidentiality
  • Must be able to multi-task, take initiative, and be highly motivated
 
Machines, Tools, Equipment, Electronic Devices & Software
  • AS400 terminal - used on a daily basis, some additional training and knowledge needed
  • Personal Computer/Printer - used on a daily basis, basic knowledge needed
  • Copy Machine - used on a daily basis, basic knowledge needed
  • Fax Machine - used occasionally, basic knowledge needed
  • Scanner - used on a daily basis, basic knowledge needed
  • Telephone - used on a daily basis, basic knowledge needed
 
Physical Activity Required for this Position
  • Stooping, bending body downward and forward by bending spine and waist.  Example:  Changing paper in printer, copier machine.
  • Kneeling, bending legs at knee to come to a rest on knee or knees.
  • Standing, particularly for sustained periods of time.  Example:  Making copies, giving presentations, directing traffic.
  • Lifting, raising objects from a lower to a higher position or moving objects horizontally from position to position. DEGREE OF LIFTING: 5-25 lbs             
  • Fingering, picking, pinching, typing or otherwise working primarily with fingers rather than the whole hand or arm as in handling.
  • Talking, expressing or exchanging ideas by means of the spoken word.  Via face to face or telephone.
  • Repetitive motions, substantial movements (motions) of the wrists, hands and/or fingers.  Example:  Filing, sorting mail, starting ignition of machinery.
 
Visual Activity Required for this Position
  • Machine operation, inspection, close assembly, clerical and administrative duties.  Example:  Preparing and analyzing data and figures, accounting, transcription, data entry, CRT exposure, extensive reading, visual inspection involving small defects, small parts, using measurement devices or fabrication of parts at distances close to the eyes.
 
Work Environment Conditions Subjected to in the Position
